We understand the importance of ensuring your business can reconcile against your bookkeeping software. The PetDesk Pay Dashboard includes all the transactional reports you need to run your business confidently.
Reconcile your transactions and deposits daily, or as often as you accept payments each week or month. This way, if there are any discrepancies, they can be identified and corrected more immediately.
View of your Deposits over the Last 7 Days
The PetDesk Pay Dashboard offers a quick overview of your deposits from the last 7 days. You can filter in the upper-right corner to view a specific day or time frame in the Payments tab (located in the left navigation pane). Once you're in the payments list, you can see all transactions included in the deposit.
Access Your Past Batch and Deposit Reports
- Log in to your PetDesk Pay Dashboard.
- Click Reports from the left navigation pane > Open the Deposit report.
- At the next screen, select the date range for the batch you'd like to review.

Click into the batch to see the transactions.
Daily Reconciliation to Match Your Deposit Report with Your Payments List
There are two key places you should review in the PetDesk Pay Dashboard when reconciling your transactions.
- Payments tab: Includes all transactions processed within a given date range. The total net amount shown for a specific date range in the payments list should match the batch amounts in the Deposit report.
- Deposit Report: Shows the total amount deposited into your bank account over a specified date range, organized by batch. If you have multiple batches in a day, the total amount for each batch in the deposit report should match the total amount indicated in your payments list.
*On some occasions, your deposit report includes batches from previous days (see example above). The reason is that the batch may have been reported after the day's cut-off time, so it was included in the PetDesk Pay Dashboard Deposit report the following day.*
When reviewing your deposit report for a specific date range, it's important to only look at the batches listed for that range. This is especially important if you have multiple batches in a day.
See a Discrepancy?
If the deposit amount does not match what you've reported in your daily receipts or your payments list, you can use the Deposit report to identify the transaction(s) that are causing the discrepancy.
Common discrepancy reasons are:
- A transaction is missing from the batch
- A transaction is included multiple times in the batch
To find the transaction that is causing the discrepancy:
Determine the amount of the difference between the reported deposit and the total net amount of payments you have recorded.
- Look through your payments list to see if there was a transaction for that amount
- Cross-reference with the transactions listed in your Deposit report
If you find a discrepancy, please contact our support team for assistance as soon as possible.
For expedited assistance, when speaking to the PetDesk Product Support Team regarding a discrepancy, please include the transaction that is missing or counted multiple times in your batch. This will allow the support team to begin identifying and correcting the issue immediately. The resolution time may be longer than usual if the support team needs to reconcile the batch to recognize the transaction(s) in question.
